When planning their wedding, couples tend to hope for the best and avoid thinking of the worst case scenario. This is especially true when it comes to outdoor weddings and the dreaded ‘R’ word, rain. The best way to plan for an outdoor wedding is to plan for the worst and hope for the best as opposed to planning for the best and having a please please please don’t rain kind of attitude. If you plan with a rational approach and implement a plan B you’ll not only be calmer leading up to your wedding day but happier on the day as well. Sure, you’ll still be checking the forecast every hour but not with the same looming sense of panic you would have if there was no rain plan.

Our Event Decorator team had a very busy summer with a lot of weddings but our busiest day of the season was easily the rainiest. We had three Muskoka weddings to set up that day which meant three weddings to tear down and set up again inside when the rain came. If you’ve ever been to Muskoka you know it’s not flat terrain. There are hills and rocks and tree roots to navigate and that’s a challenge on its own not to mention while carrying bags of linen in the pouring rain. When ceremonies are set up down the hill at a dock and have to be torn down and brought back up to a cottage to be set up indoors, it is time consuming and challenging. And yet, all of our weddings went off without a hitch and looked beautiful. The reason? There was an effective rain plan in place.

A plan B isn’t simply about having an alternative space but also the extra work it takes to swap from one plan to the next as quickly and smoothly as possible. Let us share some of our pointers with you on how to properly prepare for unfortunate weather so your wedding day will be just as beautiful indoors as outdoors.

#1. Alternative Space

Are you planning on getting married outdoors bathed in sunshine? Sounds beautiful but be prepared for two scenarios. A) If your ceremony is outside and your reception is inside, is there a separate room you can use for your ceremony in case of rain or will you need to use your reception room and move furniture around? B) If your ceremony and reception are both outside is there an indoor room that will accommodate the amount of guests you have for a reception, whether seated or cocktail? If you’re going the tented route keep in mind not all tents are completely weather proof so if there is no other option make sure you book proper flooring and a sturdy tent that can withstand hard winds, a heavy downfall of rain and the runoff water that comes with. Check the grounds for the best possible location that could provide maximum shelter from the elements if need be.

#2. Have a set call time

We know you’ll be tempted to wait until the very last minute to make the call to bring the event inside, but under no circumstances is this a good idea. Set a call time and stick to it. Consider the size of your wedding and how much time it will take your vendors and whoever is helping to make the necessary changes. Make sure your vendors and wedding party are aware of this time beforehand so they know what to do when they arrive without having to hunt somebody down. This causes a significant time delay and can throw your schedule off.

#3. Delegate roles and responsibilities

When your event space changes you have to be prepared for the extra tasks that come with it. Your floor plan has to be completely readjusted and things need to be moved. You need people to do this. And no, not you. Check with your venue beforehand if they would have the manpower to do a room change if need be. If they do, great, if not or if you are at a private residence, you need to think of who you can ask. You, your groom and your wedding party are not an option as you’ll be busy enjoying your day (and if you have a rain plan, not thinking about it either). Once you’ve found a support team that are willing to jump in if necessary, make sure you assign a list of tasks that need to be done, where things go, who does what. This will assure things go smoothly, on schedule and according to your plan.

#4.  Remember the comfort of your guests

So it’s been raining all morning long and lone and behold the sun starts to peek out from behind the clouds. Hurray! You can still get married outside. Not necessarily. Keep in mind the comfort of your guests. Will they have to walk around in soggy grass? Although it is your day, your guests still took the time and spent money to be there to support you. You don’t want to repay them by ruining their shoes and hair while they stand outside uncomfortably post rain storm. And of course be stocked with umbrellas so your guests don’t get soaked walking to and from their cars or if they wish to step outside for some fresh air.

#5. It’s still YOUR day

Just because it rained and your wedding wasn’t the way you dreamed it would be doesn’t mean it wasn’t beautiful. Keep a positive mindset and don’t let a little rain get you down. If it’s not a monsoon outside, bring rain boots and some cute umbrellas and snap some fun pictures. See some cute examples of brides in rain boots here.
